The Events Executive supports the planning, coordination, and execution of a wide range of groups and events including corporate meetings, private celebrations, wellness retreats, and luxury brand experiences. This role ensures every group and event reflects the brand’s commitment to sustainability, wellness, and exceptional guest experiences while maintaining the highest standards of luxury hospitality. My scope of work includes: - Assist in the planning, organization, and execution of events hosted at the hotel. - Serve as a point of contact for clients during the events and groups planning process. - Coordinate with internal departments including Food & Beverage, Culinary, Rooms, Spa, and Operations to ensure smooth delivery of events. - Prepare event and group proposals, contracts, function sheets, and detailed event timelines. - Conduct site inspections and client meetings to showcase guestrooms, event spaces and services. - Ensure all event setups align with Six Senses brand standards and sustainability principles. - Monitor event operations on-site to ensure flawless execution and guest satisfaction. - Handle post-event follow-ups, feedback collection, and reporting. - Maintain strong relationships with vendors, partners, and clients. - Provide on-site event support during group stays and events to ensure smooth execution, including auditing rooming lists, coordinating guest amenities, and managing special arrangements in collaboration with relevant departments. - Review and verify rooming lists and event details prior to group arrival to ensure accuracy of guest information, billing instructions, alerts, and special requests in accordance with Six Senses Kyoto standards. - Maintain accurate data within internal systems, including Delphi and OPERA PMS, ensuring timely updates of rooming lists, comments, billing information, alerts, and special arrangements to support precise reporting and operational coordination. - Coordinate closely with operational departments to ensure all group requirements, amenities, and special arrangements are communicated and delivered effectively during the event or group stay. - Demonstrate flexibility in working hours, including evenings, weekends, and public holidays, to provide on-site support when events and groups are in-house and to ensure seamless event execution. - Support the Sales team during periods of lower events and group demand by assisting with client outreach, lead generation, and sales-related administrative duties. - Support the Director of Sales and Marketing, Senior and Sales Managers in achieving revenue targets and maximizing event and rooms opportunities. - Maintain a high standard of personal appearance, grooming and hygiene. - Knowledge of all safety, security and emergency procedures related to my position in line with brand and statutory requirements. - Safeguard the privacy of guests and business partners by applying strict confidentiality standards and ensuring that sensitive personal data is protected and used solely for the purpose of fulfilling job responsibilities. - Attend meetings and training as required. - Perform any additional tasks given to me by supervisor/management.
