The Assistant Facilities Manager will manage the day-to-day client activities for the assigned property/facility and be the on-site key point of contact for key stakeholders and/or client. The role will assume overall responsibility for site budgets, accounting and finance, maintenance and operations, emergency, health, safety and security, contract services, purchasing of material, equipment & supplies, occupancy services and event management. The role involves proactively engaging stakeholders to ensure that on-site client expectations are met; building and developing effective client and stakeholder relationships across multiple levels of the organization; serving as the on-site key point of contact for Facilities in the client’s premises; organizing events and team-building sessions for the client; and coordinating local and international courier services. Responsibilities include managing vendors to ensure timely, within-budget service delivery and compliance with client procurement guidelines and JLL best practices; planning and managing contracts, monitoring expiry and re-procurement, and continually assessing contracts to deliver best value; and managing site finances, including financial processes, purchase orders, invoices, budget planning, vendor payment data, monthly accruals, and invoice approvals. The role ensures a safe working environment and compliance with statutory fire, health and safety regulations; supports the security team; and maintains evacuation and floor plans. Site operations responsibilities include recommending quality improvements and industry best practices, maintaining building procedures and performance measures, reviewing operations to reduce costs and improve standards, providing 24/7 emergency call support, monitoring the Work Order Ticketing System, maintaining office condition, and arranging weekly lunches and snacks. The role supports the AV team and equipment, provides on-site support for outsourced maintenance work, and supports the IT team with shifting, packing, and installing assets. Risk management responsibilities include implementing and maintaining property risk management, audit, disaster recovery, business continuity, escalation, and incident reporting programs, and assisting with guidelines and strategies for compliance with JLL’s business conduct. Reporting responsibilities include monthly sustainability data uploads, quarterly update presentations to Regional Support, and monthly JLL finance reports. The place of work is within Tokyo’s 23 wards. Working hours are based on the client’s timetable and generally involve working from the office. Days off are two days per week (Saturday and Sunday), public holidays, and the year-end and New Year period. Overtime pay is available; a fixed overtime allowance equivalent to 30 hours per month is included in the basic annual salary for non-managerial positions. Performance-related bonuses are available. A probationary period applies. One vacancy. The selection process consists of application screening, several interview rounds, and a final interview.
