As a Welcome Host / Receptionist, you will be the first point of contact for employees, visitors, and partners, creating a warm, professional, and seamless workplace experience. Based primarily in Tokyo with support for the Osaka office, you will manage front-of-house operations while assisting the Facilities team in maintaining a well-functioning, engaging, and safe office environment. This role is ideal for someone who enjoys working with people, takes pride in delivering excellent service, and is comfortable supporting day-to-day workplace operations in a fast-paced environment. You will be part of the Real Estate & Facilities Management team, supporting daily office operations and ensuring a functional and well-maintained workplace environment. Responsibilities include greeting employees, visitors, and partners; managing visitor registration, security procedures, and badge issuance; handling incoming calls, emails, and front desk inquiries; and supporting a positive office atmosphere. You will conduct daily checks for office cleanliness, safety, and readiness; assist with document-related administrative tasks; manage mail, courier services, and document handling; maintain pantry supplies and office inventory; and ensure meeting rooms and shared spaces are ready for use. You will support the Facilities Manager with employee requests, maintenance and service requests, vendor coordination, and liaison with building management. You will also provide administrative and event support, assist with onboarding logistics and employee engagement activities, share office updates, and work with the Facilities team and internal stakeholders to ensure smooth daily operations. This role may require occasional support outside standard working hours for events or operational needs. You will primarily be based in Tokyo, with coordination support for the Osaka office.
- 2–4 years of experience in reception, office administration, or similar operational roles - Fluency in Japanese (business level) and basic English communication skills - Good communication skills and a professional, customer-focused approach - Strong organizational skills and attention to detail - Ability to manage routine tasks and prioritize effectively - Basic proficiency in Microsoft 365 (Outlook, Teams, Word, Excel) - Comfortable using internal systems or ticketing tools (training will be provided)
- Overtime pay is available; a fixed overtime allowance equivalent to 30 hours per month is included in the basic annual salary for non-managerial positions - Performance-related bonuses are available - Two days off per week (Saturday and Sunday), public holidays, and the year-end and New Year period
