Facilities Coordinator, Account Management – Work Dynamics. Facility operations include engaging in and overseeing day-to-day facility operations at the site; conducting facility walkthroughs and closing observations; managing pantry and café operations; closing Corrigo work orders, preventive maintenance, and ad hoc work orders on time; maintaining the asset list in Corrigo; maintaining office cleaning standards; coordinating and distributing mail and courier deliveries; updating compliance trackers for Nielsen, JLL, and building management; monitoring pest control activities; liaising with the IT team on server room maintenance; assisting client employees with facility requests; supporting event arrangements and client visits; generating MMR, QBR, and other operational reports; and managing contracts, including vendor QBRs, COI collection, and negotiations. HSSE responsibilities include updating the VSI tracker according to schedule; conducting and participating in regional and global EHS activities; performing health and safety checks on JLL contractors; maintaining facilities-related emergency response plans; submitting good catches, near misses, and incidents in the CMO tool; managing all facility vendors; managing facilities vendors and contracts for AMC vendors such as HVAC, UPS, FAS, coffee vending machines, water dispensers, and housekeeping; supervising client-direct vendors and contract services; and managing inventory, including stock tracking, ordering, and maintaining par stocks. Finance responsibilities include budget management; monitoring spending and variances; tracking direct client spending and contracts; contributing to savings such as energy savings; adhering to PO-to-Pay processes and ensuring clarity on accrual submissions; providing year-on-year CAPEX inputs; and collecting NDC from vendors. Other deliverables include tasks directed by the Operations Lead or Account Director; remotely managing facilities if required; submitting reports accurately and on time, including updating the operations tracker and FM planner; conducting monthly meetings with BU and LL teams; and coordinating with support functions such as IT, GRE, and Security. Responsibilities are not limited to the description above, and ad hoc requirements must also be supported. The place of work is within Tokyo’s 23 wards. Working hours are based on the client’s timetable and generally involve working from the office. Days off are Saturday and Sunday, public holidays, and the year-end and New Year period. Overtime pay is available, with a fixed overtime allowance included in the basic annual salary equivalent to 30 hours per month for non-managerial positions. Performance-related bonuses are available. A probationary period applies. There is one vacancy. The selection process consists of application screening, several interview rounds, and a final interview.
