To provide comprehensive and proactive secretarial and administrative support to the DOPs, including the smooth and efficient running of the office and dealing with all matters in a professional, efficient and timely manner. Responsibilities include providing full secretarial support, including diary management, travel and accommodation arrangements, meeting coordination, business expenses, and proactively handling telephone calls and written correspondence; monitoring email traffic and responding promptly to time-sensitive requests; proactively managing diaries and resolving issues before they affect schedules; coordinating and managing meetings hosted by the DOPs, including notification, registration, logistics, and timely follow-up; devising and maintaining an up-to-date filing, storage, and retrieval system; assisting functional managers with secretarial support, invoice processing, external meetings, and internal communications; accurately and promptly completing administration for expenses, holidays, absence allocation, expenditure authorization, budget maintenance, and invoice processing; undertaking special duties within the overall scope of the position at the DOPs’ request; attending key company meetings, taking notes and minutes, transcribing them, and communicating them to colleagues in a timely manner; conducting background research and presenting findings; greeting visitors; supporting the monthly J&M Catch Up, including slide coordination; managing the office monitor with updates on events, visitors, news, and other relevant information; supporting the GM Cascade Call by compiling slides and sending agendas to appropriate stakeholders; supporting the monthly GM Conference Call; supporting company events such as owner events, Giving for Good, and the GM Conference; conducting office tours, providing office passes, and explaining office rules to visitors; and working with the Director of Safety & Security J&M on office security and safety issues and coordinating with building management as required.
- Excellent written and verbal communication skills. - Advanced user of Microsoft Word, PowerPoint, Excel and Outlook. - Ability to work with people at all levels of the organisation. - Able to exercise complete confidentiality and diplomacy. - Able to work unsupervised, use initiative, and be self-motivated, confident and professional. - Ability to cope and maintain calm under pressure. - Able to plan, prioritise and organise proactively. - Excellent interpersonal skills. - Able to maintain composure even in high-stress situations. - Excellent time management skills that allow for the multi-tasking of all responsibilities. - Maintain absolute confidentiality regarding employees, company information and human resource issues. - Initiative. - Excellent organisational skills and ability to prioritise based upon changing needs of the DOPs. - Hard working, approachable and highly professional, with the ability to positively represent the organisation internally and to outside clients and partners, and to demonstrate a professional and positive attitude toward work, customer relationships and service. - RSA III (typing) or typing speed of 60-wpm. - Experience of complex travel arrangements.
- Previous PA experience at a senior level is desirable.
